Guest Guide: Your Event Experience

This guide is for guests attending a gala event. Whether you're purchasing your own ticket, joining a table through an invitation link, or claiming a seat someone reserved for you, this guide covers everything you need to know.

Ways to Get Your Ticket

There are three main ways to attend the event:

1. Purchase Individual Tickets

Buy tickets directly from the event page. You'll be assigned to a table by the event organizers.

2. Join a Captain's Table

Someone you know is organizing a table and shared a link. You purchase your ticket through their link and automatically sit at their table.

3. Claim a Prepaid Seat

A Table Host has purchased a seat for you. You'll receive an invitation email to claim your complimentary seat.


Purchasing Individual Tickets

Finding the Event Page

Visit the event website directly or follow a link shared by the organization.

Selecting Your Tickets

  1. Review available ticket tiers:

    • Standard: Basic event admission
    • VIP: Premium benefits and seating
    • VVIP: Exclusive packages (often table-only)
  2. Select your preferred tier

  3. Choose quantity (1 or more tickets)

  4. Click "Buy Tickets" or "Purchase"

Checkout Process

Step 1: Your Information

  • Enter your first and last name
  • Provide your email address (very important—your tickets are sent here)
  • Optionally add phone number

Step 2: Payment

  • Enter credit card details in the secure Stripe form
  • Review the total amount
  • Click "Complete Purchase"

Step 3: Confirmation

  • You'll see a success message
  • An email confirmation is sent immediately
  • The email contains your dashboard access link

After Purchase

  • You own the ticket(s) you purchased
  • If you bought multiple, assign them to your guests
  • Table assignment may be made later by organizers

Joining a Captain's Table

Receiving an Invitation Link

Someone organizing a table will share a link like:

https://[event-domain]/checkout?table=fun-times-table

This might come via:

  • Email from a friend or colleague
  • Group chat or social media
  • Text message

Purchasing Through the Link

  1. Click the invitation link
  2. You'll see the event details and the table you're joining
  3. Select your ticket tier (if options exist)
  4. Complete checkout with your information and payment

What Happens After

  • Your seat is automatically assigned to the Captain's table
  • You'll receive a confirmation email
  • Access your Tickets Dashboard to manage your seat
  • The Captain can see you've joined

Your Rights as a Self-Pay Guest

Since you purchased your own ticket:

  • You have full control over your seat
  • The Captain cannot remove or reassign you
  • You can update your information anytime
  • You can Reassign your seat to someone else if you can't attend
  • Note: Because you are the owner of the ticket, you cannot "remove yourself" to leave a seat empty; you must reassign it if you wish to give it away.

Claiming a Seat on a Prepaid Table

Receiving Your Invitation

When a Table Host assigns you a seat, you receive an email:

Subject: Your seat at [Table Name] is confirmed!

[Host Name] has reserved a seat for you at [Event Name].

Click here to confirm your details and view event information.

Claiming Your Seat

  1. Click the link in your invitation email
  2. You'll see the table dashboard with your assigned seat
  3. Click on your seat card
  4. Review and confirm your information:
    • Your name should be pre-filled
    • Add any dietary restrictions (Vegan, Vegetarian, Gluten Free)
  5. Save your preferences

What You Can Update

  • Display Name: How your name appears on the guest list
  • Dietary Restrictions: Food preferences for the event

No Payment Required

Your seat is complimentary—the Host has already paid for your ticket.


Accessing Your Tickets Dashboard

From Email Links

Every event email includes a link to your dashboard. Look for:

  • "View Your Tickets"
  • "Access Dashboard"
  • "Manage Your Seat"

Requesting a New Link

If you can't find your email:

  1. Go to the event website
  2. Click "Manage Tickets" in the header
  3. Enter your email address
  4. Click "Send me a login link"
  5. Check your inbox (and spam folder)

What You'll See

The Tickets Dashboard shows:

Your Tickets Section:

  • All tickets you own or are assigned to
  • Reference codes for each ticket
  • Table assignments (if determined)
  • Mark one as "My Ticket" if you have multiple

Event Information:

  • Event name, date, and time
  • Venue name and address
  • Organization details

Actions Available:

  • Edit your dietary preferences
  • Reassign seats to others (if you are the purchaser or self-pay guest)
  • Remove myself from a seat (if you were assigned a seat by someone else)
  • View table details

Managing Your Profile

Updating Your Display Name

  1. Access your Tickets Dashboard or Table Dashboard
  2. Click on your seat/ticket card
  3. Find "Display Name" field
  4. Enter your preferred name
  5. Save changes

This is the name that appears on guest lists.

Setting Dietary Restrictions

The platform supports three dietary options:

  • Vegan: No animal products
  • Vegetarian: No meat or fish
  • Gluten Free: No gluten-containing ingredients

To update:

  1. Open your ticket/seat management
  2. Click the dietary options you need (can select multiple)
  3. Save changes

The event team uses this for catering planning.

Marking Your Ticket

If you own multiple tickets:

  1. Open your Tickets Dashboard
  2. Find the ticket YOU will use
  3. Click "Mark as My Ticket"
  4. This distinguishes your personal ticket from guest tickets

Giving Your Seat to Someone Else

If you can no longer attend or want to give your seat to a friend, you can Reassign the seat.

How to Reassign Your Seat

  1. Open your Tickets Dashboard or the Table Dashboard.
  2. Click on your seat card.
  3. Look for the "Reassign to a Different Guest" button.
  4. Enter the new person's information (Name and Email).
  5. Confirm the change.

What Happens

  • An invitation is sent to the new person's email.
  • You will no longer be assigned to that seat.
  • If you are the person who paid for the seat, you still maintain "ownership" and can reassign it again if needed.

Removing Yourself from a Seat

If you were invited to a seat (you did not purchase it yourself) but can't attend, and you don't have someone specific to take your place:

  1. Click on your seat card in the dashboard.
  2. Click "Remove Myself from Seat".
  3. Confirm the removal.

The seat will return to an Available status (on Prepaid Tables) or become available for Purchase (on Captain's Tables).

Note for Self-Pay Guests: If you purchased your own ticket, you will not see the "Remove Myself" option. Instead, you should use the Reassign feature to give your seat to a specific person.


Common Tasks

"I need to update my email address"

Email addresses cannot be changed after registration (they're your identity). If you need to use a different email:

  1. Contact the person who assigned your seat (Host/Captain)
  2. Have them reassign your seat to the new email
  3. Or contact event support

"I want to bring a plus-one"

Options:

  • If you have unassigned tickets, assign one to your guest
  • Purchase an additional ticket from the event page
  • Ask your Host/Captain if seats are available

"I forgot my dietary preferences"

  1. Access your Tickets Dashboard
  2. Open your seat/ticket details
  3. Update your dietary restrictions
  4. Make sure to save!

Do this as early as possible so caterers can accommodate.

"I'm attending but want to sit at a different table"

Contact event support. Table assignments can sometimes be adjusted, but it depends on availability.

"My ticket shows the wrong name"

  1. Open your ticket details
  2. Update your Display Name
  3. Save changes

If your actual account name is wrong, contact support.


Troubleshooting

"I didn't receive my confirmation email"

  1. Check your spam/junk folder
  2. Search for emails from the event organization
  3. Request a new login link from the event website
  4. Contact event support if still not found

"My link says it's expired or invalid"

Access links typically last 180 days. If yours isn't working:

  1. Request a new link from the event website
  2. Use the "Send me a login link" feature
  3. Check you're using the most recent email

"I can't access my tickets"

  1. Try clearing browser cookies
  2. Request a new access link
  3. Make sure you're using the correct email
  4. Contact event support with your email address

"The event page says tickets aren't available"

Possible reasons:

  • The event may be sold out
  • Ticket sales may have closed
  • Your link might be for a specific tier that's unavailable

Contact the event organizers for options.

"I need to cancel my registration"

The platform doesn't have a self-service cancellation. Contact:

  1. Your Table Host or Captain (they may be able to help)
  2. Event support for refund requests
  3. Consider transferring your ticket instead

"Someone claimed my seat"

If you received an invitation but someone else claimed your seat:

  1. Contact your Table Host immediately
  2. There may have been a duplicate invitation
  3. The Host can resolve assignment conflicts

Tips for a Great Event Experience

  1. Confirm early: Claim your seat and set preferences as soon as you receive your invitation
  2. Check your details: Verify your name and contact information
  3. Plan ahead: Note the event date, time, and venue
  4. Dress appropriately: Check if there's a dress code
  5. Arrive on time: Allow time for check-in and finding your table
  6. Save your reference code: Screenshot it for easy access at check-in
